New: True Outlook synchronization

Zeeyoo is now offering true syncing with Outlook.

Thanks to the sync feature jumping between Outlook and the web browser is a thing of the past. All events are synchronized bydirectionally with Outlook: every Outlook event can be seen in Zeeyoo and all Zeeyoo events (polls or confirmed events) appear in Outlook.

This function helps to keep an overview and allows you to coordinate all your events in a very simple manner. The Outlook add-in is available in our «downloads» area.

After the installation, you will find two Zeeyoo symbols in your Outlook toolbar:

They offer two functions: Manual triggering of the automized syncing process and starting a new event poll.

You can adjust all Zeyooo sync options from the Outlook menu:

Extras -> Options -> Zeeyoo

Among other things, you can select the calendar you want to sync with. Additionally, you can select your preferred mode of syncing.

By default, Zeeyoo events are stored in a separate calendar in Outlook:

We’re convinced that this syncing functionality will result in great productivity enhancements for you. You won’t find a more simple overview of your events.

Mac iCal synchronisation complements range of sync services

We’re now offering Mac OS X Leopard (version 10.5) and Snow Leopard (10.6) users an iCal-add-in. The iCal sync service keeps the iCal calendar on your Mac in line with the Zeeyoo calendar. Not only can your Mac events be accessed in Zeeyoo, your Zeeyoo events are also forwarded to your Mac. This way, your calendars are always up to date.

To make use of this feature, the add-in has to be installed locally. It’s available in our «downloads» area.

Open the file and follow the instructions of the install assistant.

After the installation you will find the Zeeyoo symbol (a «Z» in a circle) in your menu bar.

From here you can start an event poll, change your profile and trigger further actions.

You will be asked to enter you Zeeyoo access information.

State with which calendar you want your Zeeyoo events to be synchronized and where events should be stored. By default, a «Zeeyoo» calendar is created in iCal.

Neu bietet Zeeyoo eine für Windows-Benutzer die Synchronisation mit dem Google Calendar, d.h. Gmail oder Google Apps.

In einem ersten Schritt werden Google- und Zeeyoo-Kontoinformationen hinterlegt.

Die Speicherung dieser Informationen ist der Hauptgrund, warum wir derzeit auf eine serverseitige Integration verzichten. Mit den Google-Zugangsdaten ist nicht nur der Zugriff auf den Kalender, sondern auch auf sämtliche E-Mails und Kontakte möglich. Diese Informationen wollen wir vorerst nicht auf unseren Servern speichern.

Kalenderauswahl im Konfigurationsassistenten

Die Google-Synchronisation installiert ein Icon in der Taskbar. Über dieses Icon lässt sich auf einen Klick ein neuer Termin organisieren oder direkt ins Cockpit von Zeeyoo springen. Ein Klick mit der rechten Maustaste öffnet ein entsprechendes Menü. So lassen sich auch die Einstellungen ändern oder eine manuelle Synchronisation starten.

Im Zusammenhang mit der Google-Synchronisation wurde auch das Outlook-Addin mit einem neuen, schlankeren Setup versehen und signiert.

Der Bereich «Downloads» wurde zudem übersichtlicher gestaltet.

Für Mac ist eine analoge Google-Synchronisation in Bearbeitung; der genaue Termin steht noch nicht fest, aber es sollte noch dieses Jahr sein. Wir informieren hier im Blog, via Newsletter und Twitter, wenn es soweit ist.

Verbesserte Cockpit-Darstellung

Um die Arbeit mit Zeeyoo weiter zu vereinfachen, gibt es ab sofort ein überarbeitetes Cockpit.Neu werden im Cockpit die Termine sämtlicher Kategorien dargestellt:

• Termine in Bearbeitung: Noch nicht fertiggestellte Terminumfragen
• Termine in Planung: Von mir organisierte, laufende Terminumfragen
• Offene Einladungen: Terminumfragen anderer Personen zu welchen ich eingeladen bin
• Die nächsten Termine: Bestätigte Termine
• Die nächsten Termine ohne meine Teilnahme: Wird ein Termin an einem Datum bestätigt, an dem ich nicht teilnehmen kann, bin ich nicht als Teilnehmer eingetragen, sehe den Termin aber weiterhin in dieser Kategorie. Ich kann so jederzeit nachträglich meine Teilnahme an diesem Termin zusagen.
• Vergangene Termine: Termine und Terminumfragen in der Vergangenheit
• Abgesagte Termine: Vom Organisator abgesagte Termine

Alle Kategorien bleiben neu immer sichtbar. Hat es in einer Kategorie keine Termine, wird diese Kategorie grau als inaktiv dargestellt.

Überarbeitetes Cockpit

Als weitere Neuerung lässt sich die nächste anstehende Aktion direkt aus dem Cockpit auslösen. Aktionen werden nur bei denjenigen Terminen dargestellt, die noch einer Aktion bedürfen. Der Benutzer sieht so auf einen Blick, welche Aufgaben noch anstehen.

Neue Übersichtsseite für den Organisator

Haben die Teilnehmer einer Umfrage alle Terminvorschläge beantwortet, so will der Organisator möglichst übersichtlich entscheiden können, welcher Termin ausgewählt wird.

Ideal für diese Auswahl ist eine Matrixdarstellung: Personen und Termine. Einer der grossen Vorteile von Zeeyoo ist zudem der integrierte Kalender, der mit dem Desktop-Kalender abgeglichen wird. Entsprechend wollten wir eine Darstellung wählen, die beide Aspekte zu kombinieren vermag.

Unsere Lösung dazu sieht wie folgt aus:

Terminauswahl durch den Organisator

Unterhalb seines Kalenders hat der Organisator den Überblick über alle Antworten der Teilnehmer auf seine Termine. Der bestgeeignete Termin ist dabei standardmässig ausgewählt. Die Matrix und der Kalender sind verbunden – wird ein Termin oben im Kalender ausgewählt, wird auch unten die entsprechende Spalte in der Matrix hervorgehoben und vice versa. So lässt sich sehr schnell entscheiden.

New features in Zeeyoo

Based on customer feedback, we’ve added some new features to Zeeyoo:

1. In the calendar overview (https://www.zeeyoo.com/calendar) you can see all your events at a glance. If you synchronize your calendar with Zeeyoo, you can keep track of all your events from anywhere via Zeeyoo.

2. In the event options you can now specify, whether you as an organizer want to be informed every time, when an invitee responds to your poll or whether you only want to be notified once all invited participants have provided their feedback.

3. Events can now be deleted irrespective of their status.

4. If a poll has already been finalized, but the confirmed event turns out to be unsuitable, the event can now be set back to poll state. You can then pick another, previously defined event time or add new time slots and repeat the poll.

Fewer steps to reply to an event poll

Responding to an event poll has become even easier. Zeeyoo now presents all relevant infirmation on the first page that invited participants get to see. By default, details are collapsed and can be uncovered with a simple click:

If the participants are registered in the Zeeyoo address book, their relevant details (first name, family name and email address) are included automatically and the participant is only a single click away from selecting one of the suggested time slots.

Calendar feed for easy Zeeyoo integration

The Outlook plugin (and those still to come) considerably simplify working with Zeeyoo. All your own events are visible in Zeeyoo and all Zeeyoo events are added to your calendar automatically.

If the installation of a plugin isn’t possible the new calendar feed at least allows you see your Zeeyoo events in your calendar application.

Installation is straight-forward: Once you’re logged into Zeeyoo, you can copy your personal feed address form the downloads page (https://www.zeeyoo.com/downloads) and enter it into your calendar program.

Once you’ve entered the URL, your calendar app will regularly check and integrate your Zeeyoo events.

This also works for Google Calendar, Sunbird and other applications. If you’re taking part in an event poll, all blocked times are automatically freed once the organizer has confirmed the definite date and time. Thanks to the subscription, your calendar is updated regularly without any manual interaction.

Quickly select past locations

When you enter a new event, Zeeyoo allows you to select previously entered locations from a list.

The field “Recent event location” is situated at the bottom of the first entry mask for new events.

Zeeyoo remembers your ten most recently used locations. Pick the one you’re looking for and Zeeyoo will add it to the new event.
